Booking process for tourism professionals

How do I make a booking as a tour operator? Is the process different for groups and FIT clients?

Group bookings should always be sent via email to sales@snowhotel.fi so we can tailor the services and apply applicable group rates. FIT bookings can be made via email or through our booking systems with a partner login, allowing you to check availability, book at contracted rates, and receive instant confirmations.

What is the minimum group size for group pricing?

Group rates apply for bookings of minimum 10 guests

How far in advance should bookings and dining reservations be made? Are there different lead times for groups and FIT clients?

We recommend booking group services as early as possible, especially for December (peak season), to ensure availability. FIT bookings can typically be made with shorter lead times, and we always aim to remain as flexible as possible

What is the booking confirmation process?

No separate contracts are required. Written confirmation by email is sufficient. Once confirmed, a booking reference is provided. Bookings made via the partner portal are automatically confirmed in the system. Payment terms are outlined in our brochures and depend on the service, group size, and travel period

Do you have ready-made packages?

Yes, we offer a wide range of ready-made visiting packages for Arctic SnowHotel day visitors, providing better value compared to purchasing services separately. Commissions are available for partners. Accommodation packages are available directly via our online shop, but we are happy to tailor packages and suggest itineraries for the full experience

Can I combine multiple venues in one booking?

Yes, absolutely! Our guests often stay at Arctic SnowHotel & Glass Igloos, but when visiting Santa Claus Village, they may also enjoy lunch at Piparina and winter activities at Snowman World. For groups, we are happy to tailor packages combining services and experiences across all three venues

Can private events or tailored menus be arranged for groups?

Yes, we are happy to tailor private events for incentive groups and other parties. Menus can also be customized according to your preferences and specific requirements

If the clients arrive with early flight or depart late in the evenings, what are the best options for spending their time?

We recommend booking a private gingerbread cabin at Piparina in Santa Claus Village, where guests can store luggage, relax, work (WiFi available), or enjoy their own snacks or meals delivered from the restaurant. A breakfast package can also be arranged for early arrivals. Alternatively, guests can make the most of their time by booking an activity or visiting package at Arctic SnowHotel & Glass Igloos.

How can guests travel to Arctic SnowHotel & Glass Igloos?

We offer a shuttle bus from Rovaniemi Airport, city center, and Santa Claus Village for 24 € per person / one way (please book at least 24 hours in advance). Private transfers are also available: 110 € (1–4 persons) or 130 € (5–8 persons)

What kind of bedding and comfort level can guests expect in the snow hotel rooms?

Arctic SnowHotel maintains a temperature between 0°C and -5°C. Guests sleep in high-quality thermal sleeping bags on comfortable mattresses with soft coverings, ensuring a warm and cozy experience. Each room has lighting and charging points, and guests also have access to a warm lounge area if needed.  

Are there age restrictions for snow hotel stays?

We recommend a minimum age of 5 years for overnight stays in the snow hotel. 

What happens if guests do not want to sleep in SnowHotel rooms overnight?

Guests have access to the SnowHotel lounge, which includes toilets, locker rooms, and a warm sleeping area for those who prefer not to stay overnight in the snow rooms

What dining options are available?

During the winter season (15 December – 31 March), three restaurants are open daily: Log Restaurant (buffet), Kota Restaurant (3-course dinner by open fire), and Ice Restaurant (3-course dinner inside the snow hotel). In autumn (1 September – 30 October), only Kota Restaurant is open, and in early winter (1 November – 14 December), both Kota and Log Restaurant are available. 

What is the seating capacity in the restaurants?

Kota Restaurant seats up to 80 guests, the Ice Restaurant approximately 150 guests (capacity varies slightly each year), and Log Restaurant seats 114 guests. 

What activities are available on-site?

Activities vary by season, but include experiences such as an ice sculpting workshop, sauna experience, visits to Santa Claus Village, and excursions to a local reindeer farm. Autumn highlights include scenic e-bike tours and nature walks with a fireside break, while winter offers activities such as ice fishing and snowshoeing. Husky and snowmobile safaris can also be arranged through our partners

What is the difference between public and private sauna bookings?

The public sauna is included in the accommodation rate during specific times in the morning and evening and does not require advance booking. It is a mixed sauna with separate changing rooms and showers for men and women. 

Private saunas are available for an additional charge and must be booked in advance. Guests enjoy exclusive use of a private sauna for 1.5 hours, and all private sauna packages include a jacuzzi. From 15 December onwards, guests can also experience the world’s only snow saunas. As availability is limited, we strongly recommend booking private sauna experiences well in advance

Is thermal clothing rental available on-site?

Unfortunately, we do not offer thermal clothing rentals on-site. If winter clothing is needed, we recommend renting a full set for the duration of the stay from a local provider, such as Winterent Rovaniemi. However, for selected activities (such as ice sculpting), we provide Gore-Tex overalls and winter boots for participants. 

Is it possible to create custom-designed ice and snow elements for special occasions or branding?

Absolutely! As Lapland’s leading experts in snow and ice construction, we can create almost anything from snow and ice. Popular requests include company logos for incentive groups, branded ice bars, custom ice sculptures, and even ice ring boxes for proposals. The only limit is your imagination. 

Piparina Day Cabins & Dining 

What can guests do inside the gingerbread cabins at Piparina?

The gingerbread cabins provide a private and comfortable base in Santa Claus Village. Guests can store luggage and shopping, enjoy their own snacks, order food and drinks directly to the cabin via QR code, relax between activities, or use the WiFi for work. Families often use the cabins for children’s naps, feeding, changing clothes, or simply taking a break in a warm and peaceful environment. The cabins can also be used for private celebrations or as a convenient place to wait for a visit with Santa without spending time standing in long queues.  

What is the recommended booking duration for a gingerbread cabin?

It depends on how the cabin will be used. We recommend booking it for at least 2 hours, especially if guests plan to dine in the cabin. Some guests use the cabin as a short break between activities, while others book it for several hours to relax, work, store luggage, or spend time in Santa Claus Village before hotel check-in or after check-out. 

Can Piparina Restaurant be booked for private events?

Absolutely. Piparina regularly hosts private events such as weddings, gala dinners, meetings, sauna evenings, and family celebrations. Private rentals also include access to our atmospheric waterfall screen, where guests can display their own photos, videos, or presentations. 

What menus are available?

Guests can create their own Taste of Lapland menu from our selection of individually served dishes inspired by local flavors and ingredients sourced from small local producers. For private events, we also offer buffet menus and are happy to tailor menus according to specific preferences and dietary requirements. 

Can menus be customized for groups?

We are happy to tailor menus for groups based on preferences, dietary requirements, and the nature of the event.  

What is the seating capacity in the main restaurant?

The venue offers a flexible layout for dinners and receptions, with seating for up to 120 guests depending on the setup

Is there a sauna?

Yes. Adjacent to the restaurant building, there is a private sauna area featuring an indoor Finnish sauna, outdoor jacuzzi, private changing room, and a cozy lounge with a fireplace. The sauna can accommodate up to 12 guests at a time and is ideal for private groups, celebrations, and relaxing after a day in Santa Claus Village. 

Snowman World

Do guests need to pre-book tickets or can they buy on arrival?

Tickets can also be purchased on arrival. However, we recommend booking in advance to secure availability, ensure a smooth check-in process, and avoid waiting in line.

How are group bookings handled?

We offer special group rates and group menus for the Snow Restaurant. Practical arrangements, such as wristband distribution, are agreed upon during the booking process. Whenever possible, we recommend that the tour leader collects the wristbands in advance and distributes them to the group, allowing guests to enter directly and avoid queuing. 

What is included in the entrance ticket?

The entrance ticket includes access to all Snowman World activities, such as snow tubing, the snow labyrinth, ice skating (including skate rental), the Ice Bar, and the snowman disco.

Are there additional paid experiences inside the park?

While all outdoor activities are included in the entrance ticket, food and drinks are available for purchase separately. Guests can enjoy meals at the Snow Restaurant and drinks served at the Ice Bar. 

How much time do you recommend spending at Snowman World?

The recommended visit length depends on the guest’s interests. We recommend allowing at least 2 hours to explore the park if you are not planning to dine. Families with children often stay longer and may even return on another day to enjoy the snow tubing and ice skating rink again. The entrance ticket is valid for the entire day, so guests are welcome to stay as long as they like and come and go freely throughout the day

Are there restaurants or cafés inside Snowman World?

Yes. Guests can visit Café Ensilumi, a warm café located in the main building that is open to everyone and does not require an entrance ticket. Inside Snowman World, guests can enjoy meals at the Snow Restaurant, a restaurant built entirely of snow, and visit the Ice Bar, which serves drinks in ice glasses as well as hot beverages. 

What is the seating capacity in the restaurants?

The Snow Restaurant seats approximately 80 guests (capacity varies slightly each year depending on the snow structure). Café Ensilumi and its glass terrace can accommodate up to 80 guests. 

Do you have luggage storage available?

Unfortunately, we do not offer luggage storage. However, there are several paid luggage storage services available throughout Santa Claus Village.
